The engagement letters go out in January. Half come back by June.
A practice that re-signs its client base every year is running a signature operation on the side. Build the letter once as a template, bulk-send it to the whole list, and let KuduDoc do the chasing — every returned letter sealed, fingerprinted and filed before busy season starts.
No credit card to start — Personal plan included.
Busy season is a volume problem
Templates and bulk send turn two hundred engagement letters into one job. Each client gets their own copy, their own reminders, and their own sealed result.
SARS paperwork, honestly
SARS has its own systems and processes — KuduDoc doesn't file returns. It handles the client-facing side: the power of attorney and authorisations your clients sign, kept provable on your file.
A file that stands on proof
Representation letters, consents, approvals — each sealed with a fingerprint and an independent timestamp, so "when was this actually signed?" has an answer nobody can argue with.
The signature load of a practice year
-
Engagement lettersThe annual re-signing run, from one template to the whole client base — tracked per client, chased automatically.
-
SARS power of attorney & eFiling authorisationsThe client-facing authority you need on file before acting for a taxpayer — signed and dated before you act, not after.
-
Management representation lettersManagement's written representations, signed before sign-off — with a timestamp that proves it.
-
POPIA consentsConsent to process client information, captured as a signed document rather than an assumption.
-
AFS approvals & directors' resolutionsDirectors approve the annual financial statements from wherever they are — no courier, no boardroom scheduling.
-
Fee debit-order mandatesThe mandate that keeps the practice paid, signed before the first debit run.
-
B-BBEE sworn affidavits for clientsSworn before a Commissioner of Oaths first — then registered so a procurement officer can check them. See compliance certificates.
2. Scope of Engagement
We will compile the annual financial statements of the Company for the year ending 28 February 2027, and attend to the preparation and submission of the Company's income tax returns, on the terms set out in this letter and the attached standard terms of business.
Mid-flow: one letter from a bulk run. Every client's copy tracks its own signatures and sends its own reminders.
One template, the whole client base, no admin week
Templates + bulk send
The annual re-signing run, as one job instead of two hundred.
Build the engagement letter once as a shared template, send it to the whole client list in one go, and watch each letter come back on its own timeline — reminded automatically, sealed individually. Templates and bulk send start on Family; what rises with the plan is how many templates you can keep — 10 on Family, 25 on Professional, unlimited on Business. A practice re-signing its whole base each year also wants unlimited sends, which start at Professional.

SARS & the client file
SARS has its own processes. Your client signatures are yours.
KuduDoc doesn't submit returns and doesn't talk to eFiling — SARS's systems are SARS's. What it does is keep your side provable: the power of attorney signed before you act, the authorisations on file, each one sealed with a fingerprint and timestamp so you can show exactly what authority you held, and from when.

Before the next re-signing run
Yes — that's what shared templates and bulk send are for, and both start on the Family plan rather than a business one. Build the letter once, send it to the list, and each client gets their own copy with its own signature fields, its own reminder schedule and its own sealed result. You see one dashboard: who's signed, who's stalling, who needs a call. The Personal plan can't save templates or bulk-send at all.
No — and we'd rather say that plainly than imply otherwise. SARS has its own processes and its own systems, and anything that happens inside them happens there. KuduDoc handles the client-facing signatures around that work — the power of attorney, the authorisations, the consents — and gives you sealed, timestamped proof of each one.
Two ways. First, POPIA consent itself becomes a signed, sealed document instead of a line in an email nobody can find later. Second, when you need to share a document that contains personal information, KuduDoc's document intelligence tools can find it — SA ID numbers, bank details, addresses — and destroy it properly, not hide it under a black rectangle.
The swearing still happens in person, before a Commissioner of Oaths — KuduDoc doesn't change that. What you can do is register each client's sworn affidavit afterwards: it's fingerprinted, its 12-month expiry is tracked so the annual re-swearing doesn't sneak up on anyone, and any procurement officer who's handed it can verify it free. See compliance certificates for how the registry works.
5 documents a month are free, forever, no credit card. A practice in busy season needs more. Templates and bulk send start on the Family plan; unlimited sends and team seats start on Professional — the seat rate is on the full pricing page, VAT included. Either way, documents you've already sent are never affected by a plan change.
This busy season, chase numbers — not signatures.
