Tenders and business loans

The tender closes Friday. Keep the exact files.

The bid schedules, the final PDFs and the portal receipt, in one company file.

Keep a tender’s returnable documents and a lender’s document list there too: CSD registration report, tax compliance status (TCS) PIN, B-BBEE certificate or sworn affidavit, CIPC registration documents and bank confirmation, each with its date.

Your Business trial starts today; sending and sealing open once we have reviewed your company details.

What went to the tender portal, and the receipt.

Working drafts stay in their own collection.

Anyone you send a sealed file to can check it, free, without an account. The seal records a SHA-256 fingerprint of the exact file.

Which tender documents went into the bid?

Set the signing order for each exhibit and see who is still outstanding. You submit on the tender portal as usual, then file the final PDFs and the portal receipt together, apart from the working drafts. See how long to keep bid and financial records.

Returnable documents, on file before the closing date.

A South African public tender usually asks for these. Use the list as your tender documents checklist, and keep each record on file with its date.

The bid’s own list of returnable documents decides; read it first.

A new business loan means new statements.
Not a new company file.

Most of the documents required for a business loan are already in your company file. Reuse current registration records, refresh the statements for the period the lender asks for, then prepare each lender’s copy.

Documents a lender usually asks for

  • CIPC registration documents
  • Directors’ IDs
  • Proof of business address
  • Tax compliance status (TCS) PIN
  • Business bank statements for the period the lender asks for
  • Signed annual financial statements
  • Recent management accounts
  • Cash-flow projections

The lender’s own list decides.

Keep the lender’s request beside the records you supply.

A suretyship or a bill of exchange still needs ink, and KuduDoc won’t send a document it recognises as a bill of exchange. Sign it on paper and keep the original; seal the scan and file it with the company records.

A Site A certificate does not cover Site B.

Check the issuer, site, scope and validity against the request before the copy travels. Record each validity date and KuduDoc emails you before it runs out: 90, 60, 30 and 7 days before, by default — or the days you choose.

A B-BBEE certificate is valid for 12 months, and a B-BBEE sworn affidavit for 12 months from the date the commissioner of oaths signs it: fill the B-BBEE sworn affidavit template, then swear it in front of a commissioner of oaths. You choose the TCS PIN’s expiry when you request the PIN. See the renewal dates for B-BBEE certificates, TCS PINs and CIPC annual returns.

Two are already on file.

Send a request link to whoever holds the missing one, such as your accountant; the upload lands in your Library. Then share each document with the customer’s KuduDoc account, with its own access and end date. Onboarding your own suppliers? Send them a supplier onboarding form.

A signed engagement can hide a gap.

Group supplied documents by client. Collect them with one client onboarding link. Keep the engagement letter beside the supporting papers so a missing record stays visible. Where a recipient needs less information, prepare a redacted copy and review it before sharing.

Check the file in hand

The evaluator can check
the file you sent.

The evaluator, the lender, a customer or your client drops the PDF into the public checker and sees three lines: whether the file matches its sealing record, where the seal came from, and the state of the timestamp.

Unchanged since sealingThe file matches its sealing record.

A match means the file’s bytes are unchanged since sealing. It does not vouch for what the document says.

The bid sets
the signature rules.

Before signing, the bid administrator reads the specification. This one asks for the bidder’s declaration to be signed in ink. The team signs that page by hand and keeps the paper, files the scan with the final PDFs, and adds the portal receipt after submission.

Questions about tender and loan documents

Returnable documents are the forms and records a bid asks you to complete and return with it. A South African public tender usually asks for a CSD registration report, a tax compliance status (TCS) PIN, a B-BBEE certificate or sworn affidavit, CIPC registration documents and the completed standard bidding documents (SBD forms). The bid’s own returnable schedule decides.
For a business loan application, lenders usually ask for CIPC registration documents, directors’ IDs, proof of business address, a tax compliance status (TCS) PIN, business bank statements for the period they set, signed annual financial statements, recent management accounts and cash-flow projections. The lender’s own list decides.
Usually not by that name. SARS’s tax compliance status (TCS) PIN took over from the paper certificate, so a bid asks for the PIN. You set its expiry when you request it, and anyone who checks it sees your current status. Record the expiry date in KuduDoc and you are emailed before the PIN runs out.
Read the bid specification before choosing how each exhibit is signed. The institution sets its own requirements, and some pages may need ink.
No. Keep the paper original wherever the request asks for it, and the sealed scan with your company records.
Swear it in person before a commissioner of oaths. It is valid for 12 months from the date the commissioner signs it. Keep the completed scan with your company records, record that date, and KuduDoc emails you before the affidavit runs out.
Personal is free, with no card and no expiry date. Family is R99 a month (R948 a year), Professional R199 (R1,990) and Business R299 (R2,868), per occupied seat, with a 14-day trial. Documents you have already sent are not affected by a plan change.
