Send a copy of your ID safely: view-only, with an end date.

Send a copy of your ID to one named person or organisation, view-only, with an end date. If they ask for a certified copy, a commissioner of oaths certifies it on paper. KuduDoc keeps a sealed scan with its certification date, reminds you before it gets too old for them, and shares it view-only until a date you choose.

How to send a copy of your ID safely

  1. Ask what they need and why: the front only or both sides, an ordinary copy or a certified one, and how recent it must be. The organisation decides what it accepts.

  2. If they need a certified copy, take your ID and a photocopy to a commissioner of oaths, who certifies the copy on paper.

  3. Send it to one named person or address, not a group chat, view-only with an end date where you can.

  4. Keep a note of who has a copy, what for and until when, and ask them to delete it when the purpose is done.

KuduDoc keeps the scan, the date and the note, and shares it view-only for you.

Keep your certified copy once

  • Scan it.

Photograph your certified copy with your phone, or upload a scan. KuduDoc crops it to the page, asks the date the commissioner certified it, as written on the copy, and seals the scan in your Library.

  • Sealed, not certified.

KuduDoc does not certify, stamp or mark your copy. The seal shows the scan is unchanged since sealing; what a seal records. A sealed scan does not replace a paper original where one is required, so keep the paper.

  • How recent it must be.

An organisation may ask for a certified copy not older than a set time. Enter the receiver’s limit and KuduDoc shows the copy as usable until a date, and reminds you before it passes: 90, 60, 30 and 7 days before, by default — or the days you choose. Each receiver sets its own limit; KuduDoc states no legal period.

Share it view-only, with an end date

  • Who it is for.

A name and an email address. One share per recipient.

  • What it is for.

A few words for your own list. Nothing is written on the copy.

  • How they can use it.

    View only, or with download.

  • Until when.

7, 14, 30 or 90 days, or a date you pick. There is always an end date.

If the receiver has a limit, KuduDoc tells you whether the copy stays recent enough until the end date. Share it by email, or copy the link into a WhatsApp chat: it opens only with a code emailed to them.

What the person receiving it sees

  1. 01

An email from KuduDoc with your name and the date the copy stops opening.

  2. 02

A free KuduDoc account to sign in with, and a six-digit code sent to the same address when they open the link. A forwarded link does not open on its own.

  3. 03

The copy, in their browser. View only has no download button; if you allowed download, they get the sealed PDF, which they can check on KuduDoc’s free public checker, with no account.

After the end date, the link shows that the copy is no longer available. See what KuduDoc keeps and who sees it.

Who has your copies

Every copy you have shared from KuduDoc, with who has it, what for, since when and whether it is still open. Withdraw access on any share, at once.

What a sealed scan is, and what it is not

  • KuduDoc does not certify copies. A commissioner of oaths certifies a copy on paper, against your original.
  • A sealed scan of a certified copy is not a certified copy itself. For a paper document, an electronic certified copy needs the certifier’s own advanced electronic signature (ECT Act s18(3)).
  • The organisation receiving it decides what it accepts (ECT Act s4(2)). Some ask for the paper.
  • View-only can still be photographed. Withdrawing access cannot recall copies already downloaded.

Your ID number and POPIA

POPIA treats your ID number as personal information (s1). An organisation may collect it only for a specific, explicitly defined and lawful purpose (s13), no more of it than that purpose needs (s10), and may use it later only in ways compatible with that purpose (s15). So ask what they need it for, and share it for that.

You can ask an organisation, free of charge, whether it holds your personal information (s23), and ask it to delete what it is no longer authorised to keep (s24). If there are reasonable grounds to believe your information was accessed or acquired by someone without authority, it must tell the Information Regulator and you (s22).

If a copy turns up where it should not

  • Check who has your copies, and when each share was opened.
  • Withdraw any share that is still open.
  • Ask the organisation you shared it with what happened, and to delete it.
  • If accounts were opened in your name, contact the credit provider and report it to the police. The Southern African Fraud Prevention Service offers free Protective Registration.

Not just your ID

Keep and share any certified copy someone asks for the same way: a diploma, a matric certificate, a child’s birth certificate. Where the original has an expiry date, such as a passport or a driving licence card, KuduDoc reminds you before it lapses. See what else to keep with your ID.

Questions people ask

Compare plans →

Is it safe to send a copy of my ID by email or WhatsApp?

An attachment can be forwarded, saved and kept for years. It is safer to share one copy with one named recipient, view-only, with an end date, and to keep a note of who has it. In KuduDoc you can paste the link into a WhatsApp chat: it opens only with a code emailed to the recipient’s address, so a forwarded link on its own does not open the copy.

Does KuduDoc certify a copy of my ID?

No. A commissioner of oaths certifies a copy on paper, against your original. KuduDoc keeps a sealed scan of that certified copy with the date it was certified, reminds you before it gets too old, and shares it view-only. It never certifies, stamps or marks a copy.

Is a scan of my certified copy still a certified copy?

Not on its own. For a paper document, an electronic certified copy needs the certifier’s own advanced electronic signature (ECT Act s18(3)). The seal shows the scan is unchanged since sealing. The organisation decides what it accepts (s4(2)), and some ask for the paper, so keep it.

How recent must a certified copy of my ID be?

Each organisation sets its own limit, such as “not older than three months”. Enter that limit in KuduDoc and it shows the copy as usable until a date and reminds you before it passes. KuduDoc states no legal period of its own.

Can they download or screenshot the copy?

They can download it only if you allow it. View-only shows the pages in the browser with no download button, and every download is logged. View-only can still be photographed. Withdrawing access cannot recall copies already downloaded.

How do I know whether they opened it?

Each share has its own log: when the link was opened, whether the copy was downloaded and when access ended. KuduDoc emails you the first time it is opened, unless you switch that off. An opening event records that the link was opened; it cannot show that someone read the document.

What happens on the end date?

The link stops opening, and anyone who tries it sees that the copy is no longer available. You can end it sooner with Withdraw access. A copy that was already downloaded stays with whoever downloaded it, which is why view-only is the default.

Can I ask a company to delete the copy of my ID?

Yes. POPIA lets you ask an organisation, free of charge, whether it holds your personal information (s23), and ask it to delete information it is no longer authorised to keep (s24). Your list of who has your copies shows the date and what each copy was for, to quote in the request.
